AFTERSCHOOL TIMING Our afterschool program runs from student pickup or drop-off (as early as 2:15 PM) through 5:30 PM. Students are dropped off directly at our studio, and pickups take place at select schools and bus stops throughout Long Island City. To help our program run smoothly for all families, we kindly ask that guardians remain punctual at both arrival and dismissal times. For a detailed look at how each afternoon is structured, please refer to the registration link for your selected program. We also offer an additional drop-off option at Hunters Point Library beginning at 5:45 PM. Please contact our team to learn more about this service.
PRICING Our goal is to offer families a program that is affordable, enriching, and genuinely fun — without compromising on quality. So what goes into our pricing? Our tuition supports: • A low 1:10 teacher-to-student ratio for meaningful support • Fair wages and benefits for experienced educators with strong classroom management skills • High-quality STEM and art materials for hands-on learning • Dedicated administrative support to assist families • Required Department of Education permits and compliance • Scholarships for families in need • Additional support for non-typical learners • Planning for natural student enrollment fluctuations • And many other behind-the-scenes essentials that keep our program running smoothly At the request of families, registration is now offered on a semester basis. This provides greater flexibility when planning your child’s school-year schedule (for example, choosing winter vs. spring participation). Please note: Semester One includes fewer weeks than Semester Two. As a result, tuition for Semester Two is higher simply due to the longer program term.

CLASS DOJO APP We’re excited to continue using ClassDojo as part of our communication during the afterschool program. We know — one more app isn’t exactly thrilling — but this one truly helps us keep families connected to their child’s experience. In the weeks leading up to the start of school, you’ll receive a link to join your child’s ClassDojo group. Through the app, you’ll be able to see special projects your child is working on and send a quick message to the Site Leader if there’s something important we should know that day (for example, an early pickup). Please note that our teachers’ primary focus is always student safety and engagement. During program hours, they will use the app only to share photos of projects and will not be available to message families in real time.
STUDENT PICKUP Afterschool dismissal takes place at 5:30 PM. When arriving for pickup, please be prepared to check your child out by providing your photo ID and your child’s name. For your child’s safety, only individuals listed on the approved Pickup List will be permitted to sign a student out. To update authorized guardians, please log into your parent portal.
LATE PICKUP POLICY The safety of our students is the highest priority at The Afterschool Collective. To ensure accurate tracking of all arrivals and dismissals, parents and guardians are required to sign their child out each day. Staff members are not permitted to sign students out on behalf of families. We kindly ask families to plan accordingly so that departure from the school occurs no later than 5:45 PM. Due to the additional operational and staffing costs associated with late pickups, a $75 late fee will be applied. If a child has not been picked up by 6:00 PM, all individuals listed on the student’s emergency contact form will be contacted.
EXCERCISE AND ENERGY When the weather plays nice, we kick off our afterschool adventures with a park visit to get the wiggles out, followed by a fresh organic snack to refuel growing brains and busy bodies. If the weather has other plans (hello, surprise rain or dramatic wind), no worries — we bring the movement indoors and turn our studio into our own mini energy zone instead.
NUTRITION We keep our snack game strong with a rotating selection of organic, healthy, nut-free options to keep students fueled and focused. And yes… we also stock the crowd favorite — Pirate’s Booty — because even the most dedicated healthy eaters deserve a little cheesy happiness now and then.
REFUNDS Our program planning and resource allocation are based on student enrollment numbers. The affordability and high-quality experience we provide are made possible by consistent attendance and advanced staffing and supply commitments. While we understand that schedules sometimes change, we are unable to issue refunds once enrollment is confirmed. In place of a refund, families may be eligible to transfer tuition as a credit toward a future program. Cancellation requests must be submitted by email to info@theafterschoolcollective.org. An administrator will respond within 2–3 business days to confirm receipt. To avoid receiving a reduced credit, we kindly ask for at least 30 days’ notice prior to your child’s final day of attendance.
ADDING DAYS If you choose to add additional days in the future, we’ll always do our best to accommodate your request. Please note that availability may be limited and a waitlist may apply. Any added days will be prorated based on your child’s start date.
ALLERGIES & EXTRA NEEDS For the safety of all students, team members at The Afterschool Collective are not permitted to administer medication. All staff are certified in CPR and First Aid and have completed Bloodborne Pathogens training through the American Red Cross. In the event of a medical emergency, afterschool staff will provide appropriate first aid, CPR, or emergency response care in the best interest of the child. Families will be contacted promptly if any care is administered.
HEALTH & SAFETY POLICY During the height of the pandemic, we successfully supported various Learning Pods throughout NYC. Find out below how we are keeping students safe! Our educators facilitate remote learning + supplement the school day with FUN S.T.E.A.M education! 1. Students will wash their hands before entering class & will have hand sanitizer available. 2. We will encourage students not to touch one another or to touch their own faces. 3. If a student is coughing, sneezing or visibly sick, caregivers are called immediately and the child is redirected to an alternative area. 4. We will have students wash hands their before leaving our program & will have hand sanitizer available. 5. If someone uses a tissue, we will ensure that it is discarded in a waste basket immediately. 6. All Educators and Staff and required to be fully vaccinated. 7. We have invested in a medical grade TRUE HEPA H13 that removes 99.95% of the particles related to COVID-19 in less than 5 minutes. We dont expect, nor have there been, any issues in our classes, however we always want to be transparent in our processes and give our parents the utmost confidence that we are always diligent in our practices.
STUDENT EXPECTATIONS & REDIRECTION At The Afterschool Collective we strive to provide not only a fun, safe, and secure learning environment, but also stress respect for other students, staff, and property. In order to ensure the quality of this program and safety of the campers, each student must follow program guidelines. Please review these guidelines with your child. The Afterschool Collective Guidelines 1. Follow instructions by the afterschool team promptly to ensure safety. 2. Show respect to all students, team, equipment and property. No put downs, insults or teasing is allowed. 3. Keep hands, feet, head and other body parts to yourself. Fighting, hitting, theft, destruction of camp property, etc. will not be permitted. 4. Tidy up after yourself. 5. Personal valuables (i.e. cell phones, tablets, game systems, cameras, etc.) are not permitted. 6. Do not run away from staff supervision or leave the school premises without parents/guardian. Students should always be with their instructors unless they have permission to be somewhere else. 7. Always ask permission from an Instructor to use restroom or get a drink from the water cooler. 8. Appropriate language and dress at all times. Comfortable clothes and shoes should be worn to afterschool so students can participate in activities. 9. Maintain a positive attitude and have a fun summer! 10. NO PEANUT BUTTER OR NUTS are allowed at afterschool due to other students with food allergies. 11. All children will need to bring a labeled, refillable water bottle. Redirection Procedure The following procedures will be followed when children do not follow afterschool rules. Our Site Leaders reserve the right to bypass one or more steps in the process if a situation warrants. Staff Redirection Response: Step 1: Verbal Warning and Redirection Step 2: Take a monitored break from the activity Step 3: Parent Contact (3 levels) o 1st Parent Contact: After redirection, a verbal warning, and an activity break/one on one attention from the instructor, a parent/guardian will be notified that their child violated a rule of the community agreement. The instructor and parent/guardian will discuss the next steps in the redirection process. o 2nd Parent Contact: Parent/Guardian will be contacted to pick up their student. The child will be welcomed back to afterschool the next day or the next session they are enrolled in. o 3rd Parent Contact: If the undesired behavior continues after the 2nd parent contact, it may be determined that our program is not a good fit for your child at this time. Tuition refunds will be handled on a case-by-case basis. Physical violence is not tolerated at The Afterschool Collective. Our staff reserves the right to dismiss a camper whose behavior endangers the safety of themselves or others, thereby bypassing some of the disciplinary steps outlined above. Immediate Dismissal Examples: 1. Any child who brings a weapon to camp (i.e. butterfly knife, blade, bb/airsoft gun, explosive device, etc.) will be immediately removed from the program 2. Any child who makes a credible threat to hurt himself or others will be removed 3. Any child who seriously harms himself or another student will be removed (physical and/or verbal abuse) 4. Any child who verbally or physically abuses staff will be removed Incident Reports For any incidents that involve one or more other students, an incident report will be completed the same day by the instructor and submitted and reviewed by The Afterschool Collective Team Leaders. The purpose of Incident Reports is to keep parents informed of minor incidents and redirection issues that may happen during the afterschool day. Parent Conduct and Process of Dispute The Afterschool Collective staff seeks to treat the children and their families with respect. Parents and guardians are also expected to display professionalism in all inquiries and disputes about redirection decisions and incident response. All program and/or staff issues, comments, or concerns should be directed to the Leadership Team of The Afterschool Collective not the instructors or assistant instructors.
