What Happens Between School Dismissal and the Studio Door?

Most after-school programs don't talk about this part. We think it's the most important part.
There's a window of time every weekday afternoon that most parents don't think too much about — but probably should.
It's the fifteen to twenty minutes between when the school bell rings and when your child walks through the door of their after-school program. Who has them? Who's responsible? How does anyone know if something goes wrong?
For most after-school providers, the honest answer is: it depends on the day, the instructor, and a lot of informal coordination that nobody has written down. For us, the answer is a system we built ourselves — because we didn't find one that met the standard we wanted to hold.
What most after-school programs do
Standard practice in most after-school programs is straightforward: an instructor goes to the school or bus stop, collects the children, and brings them to the facility. Parents typically find out their child arrived when they show up for pickup — or don't show up, and call to check in.
There's no formal handoff protocol. No real-time location tracking. No automated parent notification. No redundancy system if the instructor is late or doesn't arrive. And in programs that use substitutes, there's often no reliable way for a new instructor to confirm they have the right children in the right group.
This is the industry standard. We think the bar is too low.
What we built instead
Our team developed an internal application specifically designed to close every gap in the standard pickup process. Here's how it works:
Instructors clock in before they leave the studio. Every instructor is required to check in through the app before departing for pickup. If a check-in doesn't register on time, our studio manager is automatically alerted — and deployed from our STEAM Lab with enough time to reach the bus stop before dismissal. We always have two staff members available. A child is never waiting alone, and a child is never left behind.
Real-time location tracking. Once an instructor is en route, our team can see their location in real time. Bus stops and school pickup locations are pinned in the system. If something is off, we know immediately — not after the fact.
Student photos assigned to each instructor. Every child in our program is associated with their instructor's roster, including a photograph. This matters most on days when a substitute is covering a route — they know exactly who they're looking for, and they can confirm every child before the group leaves the pickup location.
Automatic text notification to parents. The moment your child is picked up, you receive an automated text message. Not a message you have to ask for. Not an end-of-day summary. A real-time confirmation, the moment your child is in the care of our instructor and on the way to the studio.
What happens next
Once students arrive at our studio, the afternoon is structured from the first minute.
Children head to the park for outdoor time and a snack — a decompression window that research consistently shows improves focus and retention for the activities that follow. From there, it's back to our STEAM Lab for homework help, and then into our after-school programming: robotics, engineering, creative arts, life skills, and more.
Every part of the afternoon is accounted for. Every transition is supervised. Your child is never in a gray zone between one activity and the next.
What we'd encourage every parent to ask
We're not sharing this to alarm anyone. Most programs are doing their best with the systems they have. But we do believe parents deserve to know exactly what those systems are — and to feel confident asking.
When you register your child with any after-school program, we encourage you to ask directly:
What is your process for picking up students from school or the bus stop and transporting them to your facility?
Ask how they handle late instructors. Ask what happens if a substitute is assigned. Ask how and when you'll be notified that your child has been picked up. Ask what the backup plan is.
A program that takes safety seriously will have clear, specific answers to every one of those questions. If the answers are vague, that's important information too.
Our standard
Real-time instructor tracking. Automated parent notification at pickup. Student photo rosters for every instructor, including substitutes. Mandatory pre-departure check-ins with an active backup protocol. Two staff always available.
This is what we built because we believed children deserve it. It's one part of how we operate — and we'll keep raising the bar.
